Terms of participation in the PROD by Zowie Conference

Terms apply as of 25 August 2026

§1 General provisions

  1. These terms of participation (hereinafter: “Terms”) set out the rules for applying to attend and for taking part in the PROD by Zowie conference (hereinafter: “Event”).
  2. The organiser of the Event is Zowie Europe sp. z o.o. with its registered office in Warsaw, Marszałkowska 107, 00-110 Warsaw, Poland, entered in the register of entrepreneurs of the National Court Register kept by the District Court for the Capital City of Warsaw in Warsaw, 12th Commercial Division of the National Court Register, under KRS number: 0000764826, NIP: 5272877599, share capital: PLN 20,000 (hereinafter: “Organiser”).
  3. The Event takes place on 13 October 2026 at the Event Hall in the Fabryka Norblina complex, Żelazna 51/53, 00-841 Warsaw, Poland.
  4. An attendee is a person whose participation in the Event has been confirmed by the Organiser (hereinafter: “Attendee”).
  5. Contact with the Organiser in matters relating to the Event: contact@zowie.ai.

§2 Nature of the Event and applications

  1. The Event is a private event. There is no open registration and no tickets are sold.
  2. An application to attend is submitted through the registration form available on the Event website (hereinafter: “Application”).
  3. The Organiser reviews Applications submitted without an active invitation code individually, taking into account the applicant’s role, scope of responsibility and fit with the Event attendee profile.
  4. The Organiser responds to an Application submitted without an active invitation code within 5 business days of its receipt.
  5. Successful submission of an Application with a verified active code within its assigned limit, or confirmation of an Application by the Organiser, constitutes the conclusion of a contract for participation in the Event on the terms set out in the Terms.
  6. For an Application submitted without an active invitation code, the Organiser is not obliged to confirm it. A refusal to confirm requires no justification and gives rise to no claims on the part of the applicant.

§3 Invitations and invitation codes

  1. Confirmation of participation in the Event is issued by name.
  2. The invitation code is assigned to the addressee of the invitation. Each code has an individual usage limit determined by the Organiser and communicated to the addressee when the code is provided.
  3. The addressee may use the code for their own Application and share it with other persons within the assigned limit.
  4. Each person using the code submits a separate Application. Sharing the code alone does not automatically confirm participation. Successful verification of an active code and submission of the form within the assigned limit guarantee a place at the Event and constitute an individual confirmation of participation issued by name.
  5. Once the assigned usage limit has been reached, the code becomes inactive. The Organiser may also invalidate a code if it has been shared or used in breach of the Terms.
  6. A confirmation of participation issued by name may not be transferred to another person without the prior approval of the Organiser.

§4 Participation in the Event

  1. Participation in the Event is free of charge.
  2. The Attendee bears the cost of travel, accommodation and any other costs relating to participation in the Event.
  3. Admission is conditional on presenting the badge issued by the Organiser. The Attendee wears the badge throughout the Event.
  4. The Attendee complies with the Terms and with the house rules of the venue at which the Event is held.
  5. The Organiser may refuse admission to, or request the departure of, any person who breaches the Terms or the house rules of the venue, or who disrupts the Event.
  6. The Attendee informs the Organiser of any withdrawal from participation without undue delay, given the limited capacity of the Event.

§5 Recording of the Event

  1. The course of the Event is recorded by the Organiser in the form of audiovisual recordings and photographs. The Event is not streamed live.
  2. The Organiser does not publish full recordings. Selected materials are released after the Event.
  3. Closed-door sessions, including roundtables, are not recorded.
  4. The sessions referred to in paragraph 3 are held under the Chatham House Rule. The Attendee may use the information received during such a session but may not reveal the identity or the affiliation of the person who provided it.
  5. The Attendee does not record the Event for the purpose of dissemination without the prior approval of the Organiser. This does not apply to notes and photographs taken for personal use, other than during the sessions referred to in paragraph 3.
  6. The Organiser designates and marks an area at the venue that is not covered by the recording. An Attendee who does not wish to be recorded may use that area and may notify the Event staff or the Organiser at contact@zowie.ai.
  7. Disseminating the image of an Attendee who, in the recorded material, constitutes only a detail of a whole such as a gathering or a public event does not require permission. An Attendee is presented individually only on the terms set out in §6.
  8. The processing of personal data, including the Attendee’s image, is governed by the Event Privacy Policy.

§6 Permission to disseminate the Attendee’s image

  1. The Attendee may grant the Organiser permission to disseminate their image and voice recorded during the Event in a manner allowing the Attendee to be individually identified. The permission is voluntary and is not a condition of participation in the Event.
  2. The permission covers the recording and reproduction of the material by any technique and its dissemination in the Organiser’s promotional and informational materials, on its websites, its social media profiles and video sharing platforms, without territorial limitation.
  3. The permission covers adaptations of the material, in particular editing, shortening, extracting excerpts, changing the format and cropping, and adding subtitles, translations, transcripts, graphic elements and a soundtrack. Adaptations may not distort the meaning of the Attendee’s statements or present the Attendee in a manner detrimental to their good name.
  4. The Organiser does not use the Attendee’s image or voice in advertising the products or services of third parties, in political or ideological content, or in a manner suggesting the Attendee’s endorsement of such content.
  5. At the Attendee’s request the Organiser removes material containing their image from the channels it operates itself. Removal does not extend to material previously disseminated in a manner making its retrieval impossible.
  6. The permission is granted in the registration form or on site, before the Event begins.

§7 Live benchmark and the PROD Report

  1. During the Event the Organiser conducts a survey concerning the state of artificial intelligence adoption in the organisations represented by Attendees.
  2. Participation in the survey is voluntary and the data is provided by the Attendee. The results are presented in aggregate form only, without identifying individual Attendees.
  3. The Attendee does not include in the responses any information constituting a trade secret of the organisation they represent, nor personal data of third parties.
  4. The Organiser presents the results during the Event and makes them available in the PROD Report.

§8 Intellectual property

  1. Materials made available during the Event, including speakers’ presentations and materials, are protected by law and may be used by the Attendee for personal purposes only.
  2. Dissemination of the materials referred to in paragraph 1 requires the prior approval of the Organiser.

§9 Changes to the programme and cancellation of the Event

  1. The Organiser may change the programme of the Event, including the list of speakers and the topics of the sessions. Any programme published before the Event is indicative.
  2. The Organiser may cancel the Event or change its date or venue for reasons beyond its control. The Organiser notifies Attendees of any such change by electronic means, at the address given in the Application.
  3. Cancellation of the Event gives rise to no claim by the Attendee for reimbursement of costs incurred, unless the law provides otherwise.

§10 Liability

  1. The content presented during the Event reflects the views of the speakers and does not constitute legal, technical or investment advice. The Attendee acts on their own responsibility.
  2. The Organiser is not liable for items left unattended at the venue at which the Event is held.
  3. Nothing in the Terms limits the liability of the Organiser to the extent that such limitation is not permitted by law, in particular liability for damage caused intentionally and for personal injury.

§11 Personal data

  1. The controller of Attendees’ personal data is the Organiser.
  2. The processing of personal data is governed by the Event Privacy Policy, available on the Event website.

§12 Complaints and final provisions

  1. Complaints relating to the Event may be submitted to contact@zowie.ai. The Organiser reviews a complaint within 14 days of its receipt.
  2. The Organiser may amend the Terms. The Organiser announces any amendment on the Event website and, in the case of Attendees whose Application has been confirmed, also by electronic means.
  3. The Terms are governed by Polish law.
